A VIP client and their family are seeking a Private Office Associate who will support them during their international travels. The individual will be responsible for the planning, booking, and oversight of all aspects of international trips while coordinating with internal stakeholders and external service providers.  This is a crucial role which requires the up most professionalism and efficiency, knowledge of the UK, USA and France is desired. There is a large amount of travel around the world with the principal and their family with flexibility to adjust to arrangements last minute. Also having an understanding of privacy and confidentiality is a must, which will be carried into your quality of work.  Candidates will only be considered if they have worked in a similar role and have worked with a VIP client before. Roles & Responsibilities:
  • Ensure compliance with all GMC policies, standards, and procedures.
  • Set travel plans based on the principle's requirements including but not limited to trip budget, destinations, anddaily schedule.
  • Coordinate the booking and payments of all relevant flights, accommodation, transportation, and entertainment.
  • Coordinate the bookings for the staff members.
  • Coordinate all visa requirements are completed for all travellers.
  • Manage a multitude of frequent changes at short notice and prepare travel itineraries
  • Execute the pre-arrival protocol to ensure that all matters are ready ahead of the family’s arrival.
  • Execute the post-departure protocol including but not limited to successful checkout, payments of all invoices,that no belongings for the travellers are left behind.
  • Build strong relation with relevant service providers to improve the service provided to the family especially in thekey destinations the family travel to.
  • Carry out research online for ad-hoc topics as requested
  • During trips, meet the family every morning and stay in regular contact throughout the day.
  • Build strong working relation with the private office and other internal stake holders.
  • Anticipate the needs of the family whenever possible and to be reactive to them timely.
Experience:
  • Minimum 3-5 years of experience in concierge,hospitality, or other relevant industries.
  • Experience dealing with VIP and HNW clients with Middle Eastern focus preferably.
Job Requirements:
    • Must have exceptional integrity and respect for confidential information.
    • Strong organizational skills
    • Ability to work under pressure and tight deadlines.
    • Flexibility and adaptability to changing circumstances.
    • Must have excellent communication skills both in English and Arabic. French fluency is a plus.
